About Department

The establishment of the Academic Advising Department is one of the matters that increases the effectiveness and efficiency of the performance of academic and educational services provided by the University of Hail while ensuring quality and continuous development of the services provided by the Deanship of Admission and Registration in accordance with its mission, goals and strategic objectives that are compatible with the standards and specifications of the National Authority for Academic Evaluation and Accreditation and the National Qualifications Framework. In the Kingdom of Saudi Arabia, whether national or international, with the aim of gaining the trust of students and faculty members. This is done by relying on distinguished human competencies, sufficient material resources, and effective systems and mechanisms for measuring and evaluating performance, which ensures that the administration has a high competitive ability in the distinguished academic and educational services it provides.​

Dept Work Philosophy

  • Based on the fact that each student is unique in his needs and interests that differ from other students, which gives each of them his own circumstances that generate interests that stem from these circumstances.
  • Discovering students’ desires and determining their goals and abilities to help them draw up study plans.
  • Giving students the freedom to choose from the alternatives available to them in the academic and scholastic fields, in accordance with their abilities, inclinations and desires.
  • Paying attention to students’ study plans, and reducing the obstacles or problems they face, such as failure, dropout, non-completion of studies, and transferring from one scientific major to another or from one college to another.
  •   Stimulating students’ diverse talents to develop fully academically, psychologically, socially and behaviorally, and preparing them in a way that is compatible with their inclinations and abilities.
  • Paying attention to helping students according to their abilities so that they are adequately prepared for the labor market and its requirements.
  • Academic advising is one of the duties of a faculty member, and one of the activities complementary to his main teaching, research, and administrative tasks.​

The Academic Guidance Department at the Deanship of Admission and Registration is committed to achieving excellence in providing the necessary support to male and female students during their academic career in order to achieve the completion of their academic mission within the available time period, and to build their future self-confidence in accordance with the goals of the University of Hail by providing an academic advisor who helps in completing the requirements for obtaining his degree. Scientific knowledge, achieving the required skills, providing advice, guidance and assistance in finding solutions to problems using professional work systems of high quality.

  • Working to ensure that the Academic Guidance Department at the Deanship of Admission and Registration is characterized by professional competence in guiding and advising male and female students.
  • Work to provide a sufficient and qualified number of faculty members with experience and professional skill to provide its services in accordance with its mission.
  • The existence of an integrated and comprehensive annual program to guide and advise new students, and introduce them to the services provided to them by the deanship.
  • The existence of policies that ensure that the effectiveness of the services provided to students by the administration is monitored periodically by surveying students’ opinions about the services expected from the administration.
  • Extending bridges of cooperation between the Academic Guidance Department of the Deanship of Admission and Registration and its units in the colleges and improving the administration’s media performance.
  • The existence of periodic advisory bulletins outlining the rights and responsibilities of male and female students, distributed to all new students, and widely available within the university.
  • The existence of a system approved and announced by the Guidance Administration to provide services to people with special needs.
  • The Academic Guidance Department of the Deanship of Admission and Registration and its units provides complete and effective protection for the records of undecided students, as well as maintaining paper or electronic backup copies.
  • There is a mechanism to respond to students’ inquiries within a specific period of time through the administration page on the Deanship of Admissions and Registration portal on the university’s website.
  • Achieving quality and accreditation in accordance with comprehensive quality standards for all services and work provided by the Academic Guidance Department of the Deanship of Admission and Registration.​

Organizational Chart

First: Academic Guidance Board of Directors:

Mission:
  • Developing strategic policies and plans to achieve management objectives.
  • Proposing amendments to the management regulations and its structure to ensure the workflow.
  • Proposing internal regulations for the administration, and establishing or amending administrative committees to regulate the workflow.
  • Recommending submitting the annual operating budget and final accounts of the administration to the university director for approval.
  • Preparing scientific, research and consulting cooperation agreements concluded by the administration with scientific, research and consulting bodies and submitting them to the university director for approval.
  • Proposing scientific and advisory cooperation agreements.
  • Forming permanent or temporary committees and determining their terms of reference and objectives.
  • Decide on the appointment of the Director of Administration and the heads of the committees.
  • Nominate a financial controller and accountant for management.
  • Establishing executive academic guidance units in university branches and colleges.
  • Approval of the administration’s annual operational plan.
  • Contracting with experts and researchers by inviting and assigning those with distinguished experience to participate in completing work and implementing contracts is the responsibility of the administration after the approval of the university director.
  • Any other work assigned to her by His Excellency the University President.
First: Management committees and the tasks of each committee:

1- Planning, Coordination and Technical Support Committee (Executive Office)

Mission:
  • Coordinating the tasks and responsibilities of the various committees in the administration.
  • Coordination between academic and administrative units and committees in university colleges.
  • Coordination between academic advising units in colleges and the administration.
  • Providing technical support to various academic advising units at university branches and colleges to ensure quality performance of tasks and responsibilities.
  • Coordinating the partnership between the administration, community institutions and the labor market.
  • Coordination between various committees to prepare the required reports.
2- Review and Follow-up Committee:

Tasks:​
  • Follow up on the implementation of the various committees and administrative units’ tasks and responsibilities.
  • Identifying the difficulties and problems facing the various committees...and finding solutions for them.
  • Follow up on the implementation of the plans developed in light of the needs of the academic advising units in the colleges.
  • Follow up on the implementation of corrective decisions taken by the Board of Directors.
  • Follow up on the performance of academic advising units in colleges.
  • Reviewing the application of work rules and procedures approved by the Board of Directors.
3- Training and Capacity Development Committee:

Tasks:​
  • Identify and identify training needs (for academic advisors at the university, supervisors of academic advising units in colleges, administrators of academic advising units in colleges, and members of management committees).
  • Proposing the necessary training plans in coordination with the University’s Training and Skills Development Department.
  • Preparing the timetable for implementing training plans.
  • Determine requirements for implementing training programs.
  • Supervising the preparation and implementation of training courses.
  • Collecting evidence and evidence for training courses.
  • Nominating trainees for training courses offered by higher authorities according to the needs of the units.
  • Providing a database for trainees and training courses.
4- Publishing, Media and Community Service Committee:

Mission:
  • Spreading the culture of academic advising in society (internally - externally).
  • Holding conferences, seminars and workshops in light of academic guidance requirements.
  • Update the academic advising page on the university’s website periodically.
  • Preparing opinion polls to ensure quality and develop performance.
  • Preparing media materials...and using the most appropriate means to disseminate them.
  • Coordination between academic guidance, community institutions, and the labor market.
5- Evaluation and Measurement Committee:

Tasks:​
  • Evaluating the effectiveness of training activities and workshops.
  • Develop academic advising evaluation plans, determine the requirements for their implementation, and supervise the necessary reports thereon.
  • Evaluating all administrative, educational, service and research processes in academic advising units in colleges.
  • Developing a plan to measure the satisfaction of all parties interested in academic advising, preparing its tools... defining its requirements, supervising its implementation, preparing reports on it, and proposing the best means to raise the level of satisfaction... in preparation for taking the necessary decisions and actions.
  • Establishing controls and rules upon which the various evaluation processes are based in the Academic Advising Department.
  • Preparing performance evaluation forms and applying them to academic advisors.
  • Evaluation of facilities and ancillary services.
  • Satisfaction with the efficiency and availability of academic advising services.
​6- Self-Resources Development Committee:

Tasks:​
  • Developing a plan to provide self-resources at the Academic Advising Department.
  • Follow up on the annual budget distribution.
  • Searching for external resources to finance the activities of the Academic Advising Department.
  • Finding funding sources for the administration (grants, grants, donations)
  • Providing services that benefit the university, its colleges, and the community surrounding the university in the field of academic advising (consulting, training courses, development courses).
