The Admissions Department at the Deanship of Admissions and Registration aims to carry out admission work at the university in accordance with the regulatory procedures and conditions, and to complete the transfer procedures from outside the university, re-enrollment, and equivalence of certificates in accordance with the regulations governing this. In addition to early preparation and readiness for university admission periods, preparing statistics and periodic reports on the administration’s work and achievements, proposing ways to develop performance therein, and carrying out any other tasks assigned by the administration.

We congratulate you on your admission to the University of Hail, and we are pleased to welcome you into its academic community.

This guide has been prepared to accompany you at the start of your university journey, helping you become familiar with the key procedures and services you will need from the time of your admission through the beginning of your studies.

Begin Your University Journey

Once your final admission has been issued, be sure to complete the following essential steps:

  1. Log in to the Academic System through the Unified Login (SSO) and review your class schedule.
  2. Review your academic data and verify the accuracy of the information on record.
  3. Activate your university account and your university email.
  4. Familiarize yourself with your college and major and your study plan.
  5. Follow the academic calendar and the dates of important academic procedures.
  6. Log in to the Learning Management System to keep track of your courses, lectures, and announcements.

Your Class Schedule

At the beginning of the semester, be sure to review your class schedule and confirm the following:

  • That there is no conflict between lecture or exam times.

Clearance and Cancellation of Admission for New Students

New students may submit a request for clearance and cancellation of admission through the Clearance Portal

Steps for clearance and cancellation of admission:

  • Visit the official University of Hail website and select the Clearance service from the list of electronic services.
  • Enter your username and password through the Unified Login portal.
  • After logging in, you may complete the request and track its status until the final clearance is approved electronically.

Visiting Student

A visiting student is one who studies some courses at another university or in a branch of the university to which he belongs without being transferred, and the courses he studied are equivalent to him in accordance with the following controls:

Registration of a visiting student from another university at the University of Hail:

  • The student must have an academic record (cumulative average) for at least two semesters from the university to which he was accepted.
  • The student must not be expelled for disciplinary or educational reasons.
  • He must obtain prior written approval from his university to study as a visiting student at the University of Hail. The letter must mention the University of Hail courses that the student will study and the number of hours the student is allowed to study.
  • He must obtain the approval of the college in which he wishes to study as a visitor.
  • The maximum number of semesters that a student is allowed to study as a visitor is two semesters.
  • The visiting student is not entitled to request housing at the university and no stipend will be paid to him from the University of Hail.
  • Courses are registered for the student by the college in which he wishes to study, taking into account all controls for registering in courses.

Registration of a visiting student from the University of Hail at another university:

  • The student must have an academic record (cumulative average) for at least two semesters at the University of Hail.
  • The student must not be expelled for disciplinary or educational reasons.
  • He must obtain prior written approval from his college to study as a visiting student at the university in which he is requested to study as a visiting student. The letter must mention in the letter the university courses in which he is requested to study as a visiting student after specifying the equivalent subjects for the student by the college that the student will study.
  • The college requires obtaining a specific average for course equivalency, and the study must be directed to an official letter from the Deanship of Admission and Registration.
  • The maximum number of academic units that can be counted for a student while studying as a visitor outside the University of Hail is 25% of the total graduation units at the University of Hail.
  • The monthly stipend is paid to the visiting student, if he is eligible for it, through manual payments after submitting an official, approved academic record to the Deanship of Admission and Registration for that semester he studied at that university.
  • The visiting student’s course grades are not counted as part of the cumulative average, and the courses are recorded in his academic record.
  • The student must provide the Deanship of Admission and Registration at the University of Hail with his results that he obtained while studying at another university within two weeks of the start of study in the first semester following his period of study as a visitor. If he does not submit his results, he is considered dropped from those semesters, except for the summer semesters, and is treated according to Article 15 of this law. Regulations.

Internal Transfer


External Transfer

A student’s transfer from outside the university may be accepted according to the following controls:

  • The external transfer application must be submitted within the specified application period through the External Transfer Portal.
  • The student must have completed at least one academic semester at the university from which they are transferring.
  • The number of credit hours to be completed by the transfer student at the University of Hail must not be less than 60% of the total credit hours required to obtain a bachelor’s degree at the University of Hail.
  • The student must not have previously been assigned a university ID number at the University of Hail.
  • The student must satisfy the conditions specified at the time by the college to which they wish to transfer.
  • The student must meet the required GPA/criterion, if applicable, upon which specialization allocation after the Common First Year was based for the intended major, according to the latest announced allocation results at the time of application.
  • The applicant must not have previously obtained a bachelor’s degree.
  • The weighted percentage of the transfer student must not be lower than the weighted percentage stated in the admission criteria announced at the time for the intended major.
  • Available seats must exist in the academic program to which the student wishes to transfer at the University of Hail.
  • External transfer is not permitted to the preparatory year of the health track or to the common year of the scientific and engineering colleges.
  • Transfer is permitted only to the same major in which the student is currently enrolled.
  • Transfer applications from students enrolled in affiliation programs or distance education programs are not accepted.


Conditions for course equivalency:
  • Obtaining a grade of (C), (C) and higher in the course.
  • The course must be identical in terms to the course to be equated.
  • The grade obtained by the student is not counted toward his cumulative average.
Documents required for transfer:
  • A copy of the secondary school certificate.
  • A letter or transfer form from the university you are transferring from.
  • Original academic record.
  • Description of the courses taught at the other university (topics of each course).
  • A copy of proof of identity.

5. When is the deadline for submitting a transfer from another university to the University of Hail?
Review the academic calendar on the deanship’s website to find out the start date for receiving applications and the necessity of bringing an official academic record, a detailed description of the subjects, a high school photo, a photo of the student ID card or a photo of the family’s flight, and filling out the transfer form available on the deanship’s website.
6. I want to re-enroll in the university?
In the event of interruption of four semesters or less, the student submits a re-enrollment request to the college, and if the college approves, he will be re-enrolled. To find out the re-enrollment date, review the academic calendar on the deanship’s website.
In the event of interruption of more than four semesters, he can apply as a new student according to the approved admission conditions for that year.
7. I want to transfer from Hail University to another university?
Bring an official academic record, a detailed description of the subjects, a high school photo, a copy of the ID card or family card for female students, and fill out the transfer form to another university, which is located on the deanship’s website.
8. I want to register as a visiting student at the University of Hail?
Bring an official academic record, a copy of the ID card or a copy of the family card for female students, and a letter of approval from the university in which he is studying, specifying the names and numbers of the subjects in the letter, attaching a detailed description of them, and submitting the application to the Deanship of Admissions, which in turn fills out a request for a visit from another university to the University of Hail and submits it to the relevant department.
9. I am a student at the University of Hail and I want to register as a visitor at another university?
Bring the detailed description of the subjects to be studied at the other university and fill out the special form for the visit to another university. It must be stamped and signed by the department, and then the deanship gives him a letter to the other university of no objection to him studying as a visitor for the subjects specified in the form approved by the department in which the student is studying.
